OVERVIEW

The Senior Accountant is responsible for general accounting (accounts receivable, accounts payable and financial statement reconciliations), program accounting (the financials of all funded programs through SVdP by analyzing and preparing reports and utilizing appropriate accounting control procedures), financial reporting and financial compliance.

Employees in positions allocated to this level of the series are advanced professional accountants who perform complex, specialized accounting duties, and/or who supervise employees engaged in various accounting functions or other fiscal operations.

ESSENTIAL DUTIES AND RESPONSIBILITIES

General Accounting:

  • Enters journal entries for payroll, payroll and vacation accruals
  • Performs monthly balance sheet reconciliation
  • Assists with fixed assets and depreciation
  • Makes deposits with proper handling and posting of various funds (donations, direct mailing, voucher payments, etc.
  • Reconciles A/R accounts and maintains bad-debt account accordingly
  • Manages and solicits collections accordingly
  • Manages account and transactions; ensures all transactions are valid and recorded in QuickBooks accordingly
  • Verifies and sets up all vendors, including ensuring all supporting documentation is received (i.e. W-9) and code appropriately 1099 vendors according to federal requirements
  • Communicates and solves any discrepancies with vendors
  • Reviews expenses, codes to correct g/l account, enters in QuickBooks and gains appropriate approvals
  • Issues checks for payment, meeting due date deadlines in accordance with cash flow guidelines
  • Manages and reconciles all credit card accounts and payments
  • Responsible for sending 1099s out at year-end based on federal guidelines
  • Assists Director with cash flow and banking requirements such as fund transfers

Program Reporting:

  • Prepares and reviews budget, revenue, expenses, payroll entries, invoices and other accounting documents
  • Compiles and analyzes financial information to prepare entries to general ledger accounts and document business transactions
  • Generates for individual programs a budget vs. actual profit and loss statement and a monthly reconciliation outlining the level of compliance, programs, resolutions and recommendations for each program is submitted to appropriate functional directors
  • Works with Conference Support to streamline C.A.R.S. reports (i.e. Conference Database) for conference accounting information (i.e. National SVdP) and consolidation for 990 tax purposes; oversee data entry of C.A.R.S. reports
  • Works with Development to streamline Donor Perfect database and reconciliation to QuickBooks; oversees donations data entry into Donor Perfect and QuickBooks reconciliation
  • Oversees financial requests related to grant applications (i.e. United Way, etc.)
  • Assists with analyzing and creating budgets for grant submissions; follow-up with program staff and management to ensure all reporting is accurate and submitted timely

Financial Reporting:

  • Ensures timely reporting and balancing of all monthly financial information
  • Compiles and analyzes financial information to prepare entries to accounts (i.e. general ledger accounts, reconciling accounts), and document business transactions
  • Produces monthly accrual-based financial statements within QuickBooks
  • Assists Director with monthly internal financial statement package, including Admin, Conference Support and Development comments
  • Assists with ensuring an accurate and timely monthly, quarterly, and year-end close
  • Leads external year-end financial, inventory and tax audits
  • Assists Director with preparing and monitoring of agency and program budgets

Compliance, Policies & Internal Controls:

  • Upholds grants financial intent and follows grant responsibilities and guidelines
  • Performs a time period test for grants to ensure expenses are in appropriate grant year
  • Analyzes and reviews budgets and expenditures for local, state, federal and private funding, contracts and grants; reviews grants’ fiscal revenue and expenses; ensures fiscal compliance by auditing internal controls, financials, grant requirements and SVdP accounting practices
  • Assist Conference support staff and Director with Conference Treasury policy and procedures.
  • Reports risks to Director
  • Monitors and analyzes processes to develop more efficient procedures and use of resources while maintaining a high level of accuracy and achieving budget
  • Assists Director with special projects and workflow process improvements

EDUCATION, CERTIFICATIONS AND EXPERIENCE

  • Bachelor’s degree (B.S.) in Business Accounting or Finance
  • Minimum of five (5) years of extensive accounting experience, with a preference for 8 to 10 years.
  • Experience in Non-Profit sector desired
  • Personal qualities of integrity, credibility, and commitment to SVdP mission

SKILLS AND ABILITIES REQUIREMENTS

  • Knowledge of:
    1. GAAP and regulations affecting charitable organizations (Advanced level)
    2. POS systems and retail operations preferred
    3. Generally accepted accounting principles (Advanced level)
    4. MS Office: Excel (Expert Level), Word (Intermediate Level), SharePoint (Intermediate Level), and familiarity with TEAMS, OneNote, and PowerPoint.”
    5. QuickBooks Premier (Advanced), or other desktop version (Intermediate Level required, Expert Level preferred).
  • Skills and Abilities:
    1. Perform detailed work involving application of accountancy theory to accounting problems
    2. Evaluate accounting problems and analyze and interpret accounting records and reports
    3. Perform detailed work involving written or numerical data calculations rapidly and accurately
    4. Proficiency in accounting software and tools
    5. Work effectively with a team
    6. Communicating, orally and in writing, to a variety of audiences
    7. Organization and collaboration
