RECEPTIONIST (CONCIERGE)
POSITION: RECEPTIONIST (CONCIERGE)
CATEGORY: NON-EXEMPT
SUMMARY: The Receptionist, reporting to the F&B Director, is the first point of contact for members and visitors alike. The Receptionist will answer inquiries, provide information regarding activities conducted at the Club, location of departments, offices, and/or employees within the organization. This role is considered to be the official greeter for the Club, determining the nature and purpose for the visit, as well as directing or escorting them to specific destinations.
PRIMARY FUNCTIONS & RESPONSIBILITIES:
- Greet folks entering the Club, determine the nature and purpose of the visit, and direct or escort them to specific destinations as needed.
- Answer inquiries, provide information regarding Club activities, give location of departments, offices, and/or employees within the organization through in-person contact or via the telephone. Understand and respond knowledgeably to questions about the restaurants, events, menus, etc.
- Greet guests with a warm, sincere smile and ensure the overall guest experience exceeds expectations, while trying to anticipate each guest's needs.
- Listen for and resolve complaints from members and/or outside visitors. Use tact and good judgement when dealing with guest challenges and respond with patience and courtesy.
- Assist with setting and using proper phone and voicemail etiquette and guidelines.
- Sell and accurately account for gift cards; assist with the development of 'Canva' flyers and communication to members; coordinate birthday cards for members dining in with the F&B team, and maintain Lost and Found for the clubhouse.
- Master membership recognition during reception of members to dining and service areas.
- Maintain all reservations in NorthStar and share booking reports with host staff per shift daily. Maintain flow of dining operations with set guest count per 30-minute time frames.
- Create and/or help distribute mailings and surveys as requested by departments.
- Transmit information or documents to customers, using computer, mail, or fax machine.
- Collect, sort, distribute, and prepare daily mail, messages, and courier deliveries.
- Assist Ladies Member Card Games - create spreadsheets for each year.
- Set up, type, and distribute spreadsheets and make lunch reservations.
- Manage any special requests for all card games.
- Assist Sales & Membership Department - new member assistance:
- Set up dinner appointments for prospective new members with current members.
- Set up one-on-one interviews for prospective new members.
- Food & Beverage Director Assistance:
- Set up wine tastings with vendors.
- Catering Department Assistance:
- Take reservations for major club events and confirm such with members.
- Assist members/guests with setting appointments for site inspections with the Catering team for special occasion requests throughout the property.
- Other duties as assigned.
SKILLS & ABILITIES:
- Must possess excellent people skills and be able to handle customers in a friendly and courteous manner by engaging the members and their guests when they walk into the Club.
- Ability to remain flexible, pro-active, resourceful, and efficient, along with a high level of professionalism and confidentiality.
- Skilled at de-escalating unpleasant, angry, or discourteous situations with utmost diplomacy.
- Possess good verbal and written communication skills.
- Must understand and follow food allergy procedures and special orders/restrictions.
- Ability to multi-task calmly and effectively under pressure, as well as follow-up in an ever-changing environment.
- Proficiency in the use and operation of all necessary tools and equipment, including the reservation, telephone, paging, and voicemail systems.
- Ability to get along well with others and be a team player.
- Ability to work weekends and holidays as needed.
EXPERIENCE:
- 2+ years office administration experience preferred
- Experience in a private hospitality environment desirable
- Experience with Microsoft Word, Excel, and Outlook a plus
- NorthStar experience highly desired
EDUCATION/CERTIFICATIONS:
- High school diploma or GED
PHYSICAL REQUIREMENTS:
- Ability to bend, stoop, lift and/or carry items up to 25 lbs., or up to 50lbs. with assistance
- Ability to stand, walk, and/or sit for prolonged periods of time
- Ability to move about freely in a multi-floor building
- Ability to work indoors or outdoors, in many weather conditions.
