DEPARTMENT: Surgery Scheduling

DAYS: Monday – Friday

HOURS: 8am – 5pm

JOB SUMMARY : Schedules orthognathic patients for procedures and surgeries within the office, hospital or ambulatory center. Advises patients of surgical and financial preoperative requirements.

RESPONSIBILITIES INCLUDE:

  • Coordinate and schedule orthognathic surgeries, procedures and follow-up appointments as designated by doctors, according to established policies and protocols.
  • Schedule imaging, lab work and other diagnostic treatments as requested.
  • Provide patients with preoperative information.
  • Complete FMLA paperwork for patients with the doctor’s supervision.
  • Register new patients and gather demographic information, prior to scheduling consultations.
  • Forward pertinent patient records when the physician refers them outside our office.
  • Send orthognathic consult notes to referring provider.

PERFORMANCE EXPECTATIONS:

  • Maintain patient confidentiality by complying with HIPAA guidelines.
  • Attend all staff meetings.
  • Work closely with the billing department to ensure surgeries are accurately coded and pre-authorized.
  • Strong communication skills with staff, ancillary personnel, and physicians.
  • Interact with patients, physicians and other ancillary staff to provide accurate, timely and responsive information.
  • Check voicemail daily and promptly return all calls.
  • Document every interaction made during the course of scheduling every surgery; includes communication with patient, insurance company and physician.

EDUCATIONAL REQUIREMENTS:

  • High school diploma.
  • Trade school preferred; coding, medical anatomy courses etc.

EXPERIENCE EXPECTATIONS:

  • Minimum of three years of administrative assistant experience in a medical office, including experience with insurance preauthorization and patient collections.
  • Knowledge of medical terminology, CPT and ICD-10 coding.
  • Skilled in gathering, interpreting, and reporting insurance information accurately.
  • Ability to flexibly respond to changing demands and work with little supervision.
  • Ability to organize and prioritize tasks effectively.
  • Good analytical and problem-solving skills.
  • Strong customer service skills.

PHYSICAL REQUIREMENTS:

Work may require sitting for long periods of time and also stooping, bending or stretching. The position requires manual dexterity sufficient to operate a keyboard, computer, telephone, calculator, copier, and other such office equipment as necessary. Employee must have normal range of hearing and eyesight. The position also requires viewing computer screens and typing for long periods of time.

WORK ENVIRONMENT:

Work involves frequent contact with patients and may involve conflict resolution with upset patients. Work may be stressful at times and interaction with others is constant and interruptive. Employee must be comfortable asking patients for money.
