Job Description

Overview of the Event Producer Role

As we move into our new space, we are becoming a regional destination for hosting events, both with our 70+ partners and with new external parties who wish for an experience of excellence and service for their board meetings, symposiums, conferences, summits, and large gatherings. While we have hosted events in the 9 years that 36 Degrees North has been active our capacity and visibility have both increased, leading to a larger quantity and size of the events we can host and help produce. To that end, the Event Producer will take ownership of this expanded capability to ensure a seamless and delightful experience for our members, partners, visitors, and guests as they plan, prepare, and host their events at Gradient.

The Event Producer will be the primary point of contact for both interested parties & members, communicating the capacity of Gradient’s variety of event spaces from 16-person board rooms to a 35-person training room and 60-person pitch lounge to our 300-person well-appointed event space and how we can help bring their vision to life, assisting in organizing all the details to ensure the events run smoothly, and being day-of lead support, making sure that all details come to fruition and troubleshooting as needed.

Responsibilities of the Event Producer

Event Inquiries

  • Manage incoming event inquiries (members and non-members), respond promptly, and provide detailed information about event spaces and services
  • Support initial leads by conducting client walkthroughs and preparing proposals
  • Manage events email inbox and keep organized for ease of quick and accurate responses
  • Collaborate with Operations and Programs teams to determine feasibility, space availability, and resource allocation for prospective events when needed

Event Production

  • Coordinate private event pre-production, including scheduling and logistical planning, both with internal team and external 3rd party vendors as needed for catering, rentals, additional AV support, etc.
  • Collaborate with the internal Programs Team to support the production of programming events as needed
  • Coordinate schedules for part-time event staff and security personnel when required, with Operations team
  • Support the training of event staff at Gradient
  • Communicate event details, updates, and changes with operations and facilities
  • Prepare Weekly Event Stand-Up (WESU) meetings, summarizing event needs, including run sheets, AV requirements, and floor plans for the week ahead

Event Execution

  • Oversee day-of-event logistics, acting as the primary liaison between clients and internal staff
  • Manage run-of-show operations, including coordination with part-time event staff, and facilities teams
  • Ensure all event needs are met, including AV setup, rental vendors, food and beverage service (if applicable), and clean up requirements
  • Troubleshoot any issues during events, ensuring seamless execution and client satisfaction

Tracking & Documentation

  • Maintain detailed records of event documentation, including proposals, contracts, run sheets, Asana tracking and reports
  • Collect and submit Certificates of Insurance (COIs) and event notices to building management
  • Track deposits, payments, and outstanding balances for events, ensuring accurate financial records and reporting.
  • Track event metrics, including attendance, client feedback, and revenue, for reporting and analysis
  • Follow up with clients post-event for feedback and future opportunities
  • Keep up-to-date on competitive event spaces in Tulsa to ensure Gradient’s offerings remain relevant and competitive
  • Proactively recommend improvements to enhance the functionality of Gradient’s event spaces

This role reports to the Vice President of Systems & Operations.

Qualifications:
  • At least 2 years of proven experience in event production, coordination, or a similar role with success stories.
  • Knowledge of food and beverage operations, AV setup, and facilities management is a plus.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent written & verbal communication and interpersonal skills, with the ability to work with diverse stakeholders.
  • Exceptional follow up, time management and organizational skills a must
  • Proficiency in event management software and tools.
  • Ability to handle high-pressure situations and resolve issues on the spot.
  • This is a salaried position, and must have flexibility in schedule to adapt to the needs of events from early mornings to late nights and weekends.
  • Must be able to lift up to fifty pounds
  • Must know how to use Gmail, Google Docs, and macOS
  • You thrive in a fast-paced environment and can take initiative during down time

‍Location:

Compensation:

$50,000 - $55,000 annual salary (depending on experience)
