Responsibilities:
Provide direct, day-to-day administrative support to the VP IMF Operations, including but not limited to schedule and arrange meetings & logistics, calendar maintenance, travel arrangements, expense reporting, etc.
- Administrative support to Senior Leadership Team (SLT)
- Arrange conference rooms and/or offices, lunch, and administrative support to all leaders when visiting the Union City Site
- Help support the site’s compliance position by maintaining data and official records, as necessary, which includes maintaining pharmacy licensing board, spreadsheet, and hard copy files
- Support administratively & attend Inspection Readiness Meetings when requested
- Office supply maintenance
- Sends out various Post Masters via Outlook for various departments
- Maintains controlled or departmental documents.
- Creates and edits presentations for meetings and/or speaking engagements.
- Assist departments with the contracting and PO process
- Support activities related to the Human Resources function, i.e. Monthly Service Awards distribution and upkeep, etc.
- Lead and support event/engagement committees by helping ensure diversity of thought, raising awareness of employee concerns and morale, and generating synergy across the sites
- Job Requirements: High school diploma, Bachelor’s degree or equivalent experience.
- Three (3)+ years of related experience.
- Proficient in MS Office applications.
- Must be able to keep confidence as will be privy to proprietary and confidential information.
- Strong attention to detail and written/oral communication skills.
- Working Conditions and Physical Requirements: Ability to sit or stand for extended periods of time
- Intermittent walking to gain access to work areas
- Finger dexterity sufficient to use a computer and to complete paperwork activities
- Vision sufficient to use a computer, to read written materials and to complete paperwork activities;
- Hearing sufficient to communicate with individuals by telephone and in person
- Ability to lift up to 25 pounds. Limited exposure to (2ºC - 8ºC); (-20ºC); (-75ºC); (-196ºC) areas.
- Must have the ability to work around laboratories, manufacturing areas and equipment, and regularly lift 10 – 20 lbs and lift up to 50 lbs.
- Job performed in a lab, office, or utility (noisy) environment
- Must have the ability to work around laboratories, manufacturing areas and equipment with exposure to blood, blood products or OPIM (other potentially infectious materials) while donning required personal protective materials.
