Job summary
We are seeking an experienced and detail-oriented AP/AR Specialist to join our finance team. This role is responsible for managing both incoming and outgoing payments, ensuring the accurate and timely processing of invoices, managing collections, and maintaining precise financial records. The ideal candidate is a proactive problem-solver with strong organizational and communication skills who can help maintain the company's financial health.

Responsibilities

• Accounts Payable:
  • Review, verify, and enter vendor invoices, ensuring accuracy and proper coding to the general ledger.
  • Process payments via ACH, wire, check, and virtual card in a timely manner, adhering to payment policies and vendor terms.
  • Perform regular vendor statement reconciliations and resolve any discrepancies.
  • Manage vendor files, ensuring all information, including W-9s and 1099s, is current and compliant.
  • Respond to vendor inquiries regarding payment status and billing issues.
• Accounts Receivable:
  • Generate and distribute customer invoices accurately and on schedule.
  • Apply customer payments from various sources (bank feeds, gateways) and reconcile with customer accounts.
  • Monitor accounts receivable aging reports to identify and address delinquent accounts.
  • Execute collection efforts through email and phone communication, escalating issues as needed.
  • Investigate and resolve customer billing discrepancies and payment issues.

• Qualifications

• Proven experience as an AP/AR specialist or in a similar role.
• Solid understanding of basic accounting principles.
• Proficiency with accounting software QuickBooks
• Strong knowledge of Microsoft Excel 
• High degree of accuracy and attention to detail.
• Strong organizational and time-management skills.
• Excellent communication and interpersonal abilities.
• Ability to work independently and as part of a team.
